Billing Policy

By using the ReachMail Service, you’re agreeing to the provisions set forth herein, which will result in a legal agreement between you and ReachMail (“Agreement”). We’ll start with the basics, including a few definitions that should help you understand these provisions. ReachMail (“ReachMail,” “Easy-SMTP,” “we,” or “us”) is an online marketing and transactional email platform (the “Service”) that allows you to, among other things, create, send, and manage certain marketing campaigns, including, without limitation, emails, and mailings (each a “Campaign,” and collectively, “Campaigns”). As a customer of the Service or a representative of an entity that is a customer of the Service, you’re a “Member” according to this Agreement (or “you”).

By using ReachMail, you agree to the following terms as outlined in this Billing Policy and all other policies described in:



§1 PLANS


1.1. Billing Date

Your billing date is the date of the first payment made to upgrade from a free plan to a paid plan. All ReachMail accounts start as free plans which are then upgraded to paid pricing plans accordingly. All billing cycles are processing in EST time.

1.2. Monthly Payment Plans

  1. Recurring Charges. When you sign up for a Monthly Plan, you agree to recurring monthly charges for as long as your account remains active. Billing occurs on the same day each month, based on the date that you started the Monthly Plan.
  2. Fees. Monthly fees are assessed based on the pricing package you have selected. Each pricing package allows for a specific allotment of volume of emails you can send and number of contacts you can have in your list. Please visit the site for more information on pricing plans. All monthly plans incur an initial monthly fee based on the pricing package selected which is due at the onset of any new billing cycle. Exceeding the volume of emails allowed under you chosen pricing plan per month will result in an overage fee. Any overage fees you may incur in the course of any billing cycle are added to the following month’s invoice. Monthly volume is assessed as of 11:59 EST of the date of your billing cycle.
  3. Changing Your Plan. Billing for Monthly Plans may be paused, and you may choose to close your account permanently at any time. You can cancel/downgrade/upgrade at any time. For more detail, see the section below entitled: Upgrades and Downgrades in the middle of a billing cycle.
  4. Refunds. No refunds will be provided for monthly plans for partial usage, or for accounts terminated for abuse.
  5. With the exception of pay-as-you-go and annual pricing plans, all ReachMail plans are monthly.

1.3. Custom Pricing Plans

  1. ReachMail may offer custom pricing plans upon request. Custom pricing plans may include dedicated IPs, custom manages service fees, custom list cleaning pricing and other special adjustments. Exceeding the volume of emails allowed under you chosen pricing plan per month will result in an overage fee. Any overage fees you may incur in the course of any billing cycle are added to the following month’s invoice.
  4. Changing Your Plan. Billing for Custom Plans may be paused, and you may choose to close your account permanently at any time. You can cancel/downgrade/upgrade at any time. For more detail, see the section below entitled: Upgrades and Downgrades in the middle of a billing cycle.
  5. Refunds. No refunds will be provided for custom plans for partial usage, or for accounts terminated for abuse.

1.4. Pay-As-You-Go Pricing Plans

  1. Rates. Pay-as-you-go pricing plans allow customers to pre-pay for email credits. Pricing and other information about pay-as-you-go plans can be found on the website.
  2. Expiration. Email credits expire after 2 years.
  3. Refunds. No refunds are provided for unused credits. Accounts terminated for any violations of the terms of service will forfeit any existing credits should any remain at the time.

§2 ADD ON SERVICES


2.1. Managed Service

Managed service fees incurred through the course of a billing cycle will be assessed as part of the following month’s invoice. Accounts that are deactivated prior to having paid any outstanding invoice will be charged any outstanding balance upon cancellation.

2.2. IP Setup & Leasing

IP setup and leasing fees for qualifying accounts may be included in monthly invoices or added as separate invoices. Payments for such fees will be due at the beginning of any billing cycle as they are considered part of the monthly usage agreement.

2.3. List Cleanings (Data Hygiene Scans)

List cleanings must be paid for in full prior to execution. No refunds are available for list cleanings and no guarantee is made as to the quality of the data returned from a list cleaning.

§3 PAYMENT


3.1. Payment Methods

ReachMail requires that all customers maintain a valid credit card on file for any paid account package. Accounts that fail payments will immediately be locked upon failure to pay any outstanding balance in its entirety. Customers may provide up to 4 credit cards.

3.2. How Payments are processed?

ReachMail does not store any credit card information in its own network as an additional security precaution. All credit card charges are run through stripe.com, which is certified to PCI Service Provider Level 1. Please see here for more information about stripe.com

3.3. When are Payments Due?

ReachMail invoices are due at the onset of any billing cycle (e.g. the billing date). Your billing date refers to the beginning of your billing cycle. For example, a billing date of the 15th means your monthly volume will reset on the 15th of every month. Prepaid amounts are due at the beginning of a billing cycle. Overage rates are invoiced after your billing cycle has changed over. Overage rates are invoiced after your billing cycle has changed over, they will be incurred on the following month’s invoice.

Accounts that are deactivated in the middle of a billing cycle will be charged for any outstanding overage fees prior to cancellation.


§4 UPGRADES/DOWNGRADES IN THE MIDDLE OF A BILLING CYCLE


4.1. Upgrades

If you upgrade to a more expensive plan, the difference between your current plan and the upgraded plan will be charged at the time of the upgrade. The features of the upgraded plan will be available to you at the time of the upgrade.

4.2. Downgrades

While downgrades are processed immediately upon request, for the remainder of the account’s billing cycle, accounts will retain access to the features, volume, and contact limits (where applicable) of the highest pricing package paid for in the current billing cycle. For example, if you start the billing cycle on Basic plan, then upgrade to the Pro plan, and the finally downgrade to the Free plan, your account will still have access to the Pro plan volume limits and features of the Pro plan for the remainder of the current billing cycle. You will be billed at the downgraded plan’s rate starting at the beginning of the billing cycle after you downgrade.

4.3. Timing

Upgrades and downgrades are processed immediately upon request.


§5 CANCELLATION


All cancellation requests are processed immediately. All data is purged within 48 hours after cancellation, including but not limited to tracking links, reports, lists and images.


§6 REFUNDS


6.1. Partial Months

Except for some cases, ReachMail does not provide refunds for partial month usage or for idle accounts not using our Service.

6.2 Inactive Accounts

ReachMail will not terminate any paid account for inactivity, nor will any refund be provided for accounts that have been abandoned with active, paid plans. It is the responsibility of the account owner to request account cancellation or to downgrade to a free plan.

6.3. Terminated Accounts

If your account is terminated for your violation of any of the provisions of this Agreement, including our Privacy Policy, Terms of Service and Acceptable Usage Policy, your paid plan will be canceled and no refund will be provided for the remainder of the billing cycle in which your account was terminated. Upon termination, you will be responsible for all amounts due to us.
